Parlena ("we," "our," or "us") operates the Parlena mobile application and the website at parlena.app. This policy explains what data we collect, how we use it, and your rights regarding that data. We have written this in plain language because we believe you deserve to understand exactly what happens with your information.
We do not sell your data. We do not use your data to train AI models. We collect only what is necessary to provide the service.
Who this policy applies to
This policy applies to business owners, technicians, and any other users who create an account or use the Parlena application. It also applies to customers whose information is entered into Parlena by a business owner or technician for the purpose of invoicing.
What data we collect
Account information
- Your name, phone number, and email address
- Your business name and default service rates
- Your role — owner or technician
Voice recordings
- Audio recorded through the app is sent to Deepgram for transcription and immediately discarded after the transcript is returned
- We do not store raw audio files on our servers
- Transcripts are processed by Anthropic's Claude API to structure job data and are not retained by Anthropic for training
Job and invoice data
- Work descriptions, parts used, labor time, and job notes
- Customer names and phone numbers entered by your business
- Service addresses
- Invoice amounts and payment status
Payment information
- Parlena does not collect or store credit card numbers or bank account details
- All payment processing is handled by Stripe — your payment information goes directly to Stripe and is governed by their privacy policy
Device and usage data
- Device type, operating system version, and app version
- Crash reports and basic usage analytics to improve the product
- We do not track your location
How we use your data
- To provide the Parlena service — transcription, job structuring, invoice generation, and SMS delivery
- To process your subscription payments via Stripe
- To send SMS messages on your behalf via Twilio — invoices, tech invites, and customer follow-ups
- To authenticate your account securely via Supabase
- To diagnose technical issues and improve the product
- To contact you about your account or material changes to the service
Third-party services
Parlena uses the following third-party services to operate. Each handles data according to their own privacy policies.
Data retention
- Your account data and job records are retained for as long as your account is active
- Upon account cancellation, your data is deleted within 30 days
- You can request immediate deletion at any time by contacting us
- Voice recordings are never stored — they are discarded immediately after transcription
Your rights
You have the right to:
- Request a copy of all data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and all associated data
- Withdraw consent for data processing at any time by closing your account

Data security
All data transmitted between your device and our servers is encrypted using TLS. Data stored in our database is encrypted at rest. We use industry-standard authentication practices including JWT token verification on all API endpoints. We do not store passwords in plain text.
Children
Parlena is a business tool intended for use by adults. We do not knowingly collect data from anyone under the age of 18. If you believe a minor has created an account, contact us at hello@parlena.app and we will delete it immediately.
Changes to this policy
If we make material changes to this policy we will notify you via email and through a notice in the app at least 14 days before the changes take effect. The date at the top of this page reflects the most recent update.
