This Privacy Policy explains how Parlena LLC ("Parlena," "we," "us," or "our"), a New York limited liability company, collects, uses, shares, and protects information when you use the Parlena mobile application and related services (the "Service").

Parlena is a voice-first invoicing and field-service tool for contractors. By using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Service.

The short version: We collect what we need to run the Service, invoicing, payments, and the voice-to-invoice feature. We do not sell your personal information, and we do not use it for advertising. You can ask us to delete your data at any time by emailing hello@parlena.app.

Payment information

When you connect a payment account or a customer pays an invoice, payments are processed by Stripe. Parlena does not collect or store full card numbers. Stripe handles payment card data under its own security standards and privacy policy.

4. How voice recordings are processed

When you record a job, the audio is securely uploaded to our infrastructure and sent to a transcription provider to convert speech to text, and then to an AI provider to structure that text into an invoice. This processing exists solely to produce your invoice. We do not use your recordings to train advertising systems, and we do not sell them.

Because recordings and invoices may contain your customers' personal information, you are responsible for having an appropriate basis to record and process that information under the laws that apply to you. We act as a processor of that customer information on your behalf.

We share information with the following service providers only as needed to operate the Service. Each processes data under its own privacy policy.

Supabase
Database, authentication, file storage, and backend hosting for your account, invoices, and recordings.
Stripe
Payment processing and payout handling. Full card data is handled by Stripe, not Parlena.
Deepgram
Speech-to-text transcription of your voice recordings.
Anthropic
AI structuring of transcribed text into invoice line items.
Sentry
Crash and error reporting to keep the app stable. Configured not to collect personal identifiers by default.
Google Places
Address autocomplete when you enter a job address.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only:

We keep your information for as long as your account is active. If you close your account, we delete your personal information within 90 days, except where we must retain certain records to comply with legal, tax, or accounting obligations. You may request deletion at any time (see Section 9).

We protect your information using industry-standard measures, including encryption in transit, access controls, and row-level security at the database layer. Voice recordings are stored in a private, access-controlled location. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

California residents (CCPA/CPRA)

If you are a California resident, you have the right to know what personal information we collect, to delete it, to correct it, and to opt out of its sale or sharing. We do not sell or share your personal information as those terms are defined under California law. We will not discriminate against you for exercising your rights.

European and UK users (GDPR)

If you are in the European Economic Area or the United Kingdom, we process your personal data on the legal bases of performing our contract with you, your consent, our legitimate interests in operating and improving the Service, and compliance with legal obligations. You have the right to lodge a complaint with your local data protection authority.

How to delete your account and data

To delete your Parlena account and the personal information associated with it, email hello@parlena.app from the address on your account, or with your account details, and request deletion. We will delete your account and associated personal information within 30 days, except for records we are legally required to retain. Some information may remain in encrypted backups for a limited period before being overwritten.

10. Children

The Service is intended for business use by adults and is not directed to children under 13 (or under 16 in the EEA/UK). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

We and our service providers may process and store information in the United States and other countries. Where required, we rely on appropriate safeguards for such transfers.

12. Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app or by email. Your continued use of the Service after changes take effect means you accept the updated policy.
